3. Why we process information
We process information to assess suitability and safety; respond to enquiries; prepare and deliver coaching; personalise programmes; track progress; manage bookings, payments and support; communicate service information; maintain business and legal records; prevent misuse; and improve our services. Marketing messages are sent only where permitted, and recipients can opt out.
4. Health and special personal information
Health and injury information is treated as sensitive. It is processed only where lawfully permitted and reasonably necessary for screening, client safety and coaching. Supplying this information does not create a medical relationship, and MyFitHaus does not use it to diagnose or treat conditions.
5. Service providers and disclosures
Information may be processed by trusted providers that support our forms, website hosting, email, calendar and video meetings, communications, coaching delivery, analytics and payments. Depending on the service used, these may include Jotform, Google Workspace, WhatsApp, Vercel, Resend, coaching platforms and an approved payment provider such as Paystack or Yoco. Providers receive only information reasonably required for their function and operate under their own privacy and security terms.
We may also disclose information when required by law, to protect safety or legal rights, or during a lawful business restructuring. We do not sell client health information.
6. Cross-border processing
Some technology providers may store or process information outside South Africa. Where this occurs, we take reasonable steps to use reputable providers and safeguards consistent with applicable data-protection requirements.
7. Security
We use reasonable administrative and technical safeguards, including access controls, secure service providers and limited access to client records. No online system can be guaranteed completely secure. If a security compromise occurs, we will respond and notify affected persons and regulators where required.
8. Retention
Records are kept only for as long as reasonably necessary for coaching, contractual, safety, accounting, dispute-resolution and legal purposes. Information that is no longer required is deleted, destroyed or de-identified where reasonably practicable.
9. Your rights
Subject to applicable law, you may ask whether we hold your information, request access or correction, object to certain processing, withdraw consent where consent is the basis, request deletion where appropriate, or complain about our handling of your information. Some records may need to be retained for legal or contractual reasons.
